Add staff, roles and PINs

Give every cashier their own login or PIN and set what each role can do, from voids to reports.

Updated 2026-10-17

Shift reports are only fair when every sale is tied to the person who rang it. Give each person their own access on day one.

Roles

Start with three roles and adjust:

Role Typical permissions
Cashier Sell, take payments, open and close their own shift, log safe drops and lottery payouts
Manager Everything a cashier does, plus voids after payment, refunds, overrides, price changes, stock receiving
Owner Everything, including reports for all stores, billing and settings

Add a user

  1. Go to Users → Add.
  2. Enter their name and, if they need to log in from home, an email.
  3. Choose their role and the store(s) they work at.
  4. Set their language. A cashier can work in Spanish while the next shift works in Urdu.

Overrides

Age-check overrides, voids and no-sale drawer openings can require a manager PIN. Each override is logged with who approved it.

When someone leaves

Deactivate their user the same day. Their past sales stay in the reports.
