Card every customer. Let the register remember.
Age verification at the register for tobacco, vapes and alcohol. The POS stops the sale, reads the licence, decides by date of birth and keeps a log you can show anyone who asks.
- Included in every plan
- Works with 2D licence scanners
- Stores the result, not the customer's data
What is age verification at the POS?
Age verification at the POS is a check the register forces before it sells a restricted item. The cashier scans the product, the POS asks for the customer's date of birth (scanned from the ID barcode or typed in), compares it with the minimum age for that item, and records whether the sale passed, was refused or was overridden by a manager.
Most underage sales are not cashiers breaking the rules on purpose. They are a busy Friday, a new hire, a regular who "looks old enough". A prompt that cannot be skipped removes the guess. A log turns your carding policy from a sign on the wall into a record.
The rule that matters most: since December 2019 the federal minimum age for tobacco and nicotine products, including vapes, is 21 in every state. FDA tells retailers to check photo ID for anyone who looks under 30. Read FDA's Tobacco 21 page.
How an ID check works, second by second
Five seconds at the counter, start to finish. Here is what the register does at each step.
- 0 sscan item
The cashier scans a restricted item
Cigarettes, cigars, vapes, rolling papers, beer, wine or any category you flag. The flag lives on the product or the whole category, so a new SKU inherits it.
- 1 sprompt
The register stops and asks for ID
A full-screen prompt shows the minimum age for that item and today's cut-off date of birth. The sale cannot be finished until the check is answered.
- 3 sscan licence
Scan the licence, or type the date
A 2D scanner reads the barcode on the back of a US driver's licence or state ID and fills the date of birth. No scanner, or a passport? The cashier types the date from the ID.
- 4 sdecide
Pass, or refuse with one tap
Old enough: the sale continues. Too young or expired: the item is removed and the refusal is recorded. Overrides need a manager PIN, and the override is logged too.
- laterreport
Every check is on the record
Time, register, cashier, item category, result. Filter by night shift or by cashier and print it when an inspector, a manufacturer rep or your insurance asks how you train staff.
Which items need an age check?
You decide per product or category. These are the settings most US convenience stores start with. Check your state and city rules before you go live.
| Category | Typical minimum age | Where the rule comes from | POS setting |
|---|---|---|---|
| Cigarettes, cigars, smokeless | 21 | Federal Tobacco 21 law, plus state licence terms | Prompt, scan or type DOB, log |
| Vapes and e-liquids | 21 | Federal Tobacco 21; some states and cities restrict flavours | Prompt; block listed SKUs where banned |
| Rolling papers and accessories | 21 in many states | State law | Flag the category if your state requires it |
| Beer, wine, spirits | 21 | State alcohol law and your licence; some states limit sale hours | Prompt plus sale-hour limits |
| Lottery and scratch-offs | Set by your state lottery (18 in most states) | State lottery rules | Prompt at your state's age |
| Other items your city restricts | Varies | Local ordinance | Add your own category and age |
This table is general information, not legal advice. Your state and local licences decide the rules; the POS lets you set them. Selling alcohol? The bottle shop edition goes deeper on case discounts and state rules.
When the scanner cannot read the ID
Worn barcodes, out-of-state formats, military IDs and passports happen. The prompt always offers a typed date of birth, and the log notes that it was typed, so you can see which cashier types far more than they scan.
When a regular is offended
"Store policy, the register asks for everyone" ends the argument. Put the sign at the counter; the POS backs it up. Many stores card every customer regardless of age.
New hires
Give each cashier their own PIN on day one. Their checks, refusals and overrides are theirs, which makes training conversations specific.
Overrides
A manager PIN and a reason. Overrides show in their own column on the report, so a pattern is easy to spot.
Inspections
Print or export the check log for any date range. It shows you train and enforce, which is what inspectors and reps ask about.
Train your staff in ten minutes
The register enforces the check; people still decide. Walk every cashier through this before their first night shift:
- Every flagged item asks for ID. Ask every time, no exceptions for regulars.
- Scan the barcode on the back of the ID. If it will not read, type the date of birth.
- Look at the photo and the person. Check the expiry date.
- If the register says no, the answer is no. Do not look for a manager to override.
- Never sell to an adult buying for someone underage who is with them.
- Refusals are fine. They are logged as good practice, not as lost sales.

Age verification questions
What owners ask us about ID checks, scanners and the log.
How does age verification work on a POS?
Age verification on a POS means restricted items carry an age flag. When a cashier scans one, the register stops the sale and asks for the customer's date of birth, either scanned from the ID barcode or typed in, compares it with the minimum age, and records the result.
What is the minimum age to buy tobacco in the US?
Under the federal Tobacco 21 law, the minimum age to buy any tobacco or nicotine product, including vapes, is 21 in every state. FDA guidance tells retailers to check photo ID for anyone who looks under 30. Some states and cities add their own rules on flavours and licences.
Can the POS scan a driver's licence?
Yes, with a 2D imager scanner that reads the PDF417 barcode on the back of US and Canadian licences and state IDs. Many stores already have one at the counter. Without it, the cashier types the date of birth from the ID and the check is logged the same way.
Do you store customer ID data?
No. The POS uses the date of birth to make the decision and stores the result of the check (passed, refused, overridden), not the customer's name, address or licence number. That keeps you out of the business of holding personal data you do not need.
Can I set different ages for different products?
Yes. Each product or category can have its own minimum age, for example 21 for tobacco, vapes and alcohol, and your state's age for lottery or other items. You change it once and every register follows.
What if a cashier skips the check?
They cannot. A flagged item will not complete without an answer. A manager can override with their PIN, which is recorded with the reason, so a pattern of overrides shows up in the report.
Does this make my store compliant?
It helps you follow the rules you already have to follow, and gives you a record. Compliance is still yours: your state and local licences, your staff training and your own carding policy govern. We do not certify stores.
Does it work for alcohol as well as tobacco?
Yes. Beer, wine and spirits use the same prompt with their own age. Some states also limit the hours alcohol can be sold; you can set sale-time limits per category so the register refuses outside allowed hours.
What about fake or expired IDs?
The POS flags an expired date on scanned IDs. It cannot tell a good fake from a real ID by the barcode alone. Train staff to look at the photo, the feel of the card and the hologram, and to refuse when unsure; the refusal is logged.
Is age verification included in every plan?
Yes. Age prompts, licence scanning and the check log are part of Counter, Full Shift and Multi-Store, in every market. The rules you configure depend on where your store is.
